These influencer outreach email templates are short on purpose. Creators read pitches on their phones, between filming and editing, and they can tell in one line whether you've looked at their work. Use each influencer outreach email template as a structure, not a script: the first line should always be about something specific the creator made.

Before you send: personalization checklist

Check these five things for every creator. They take two minutes and decide whether you get a reply.

  1. One specific reference. A video, series, post or opinion of theirs, named in the first line.
  2. The right address. The business email in their bio or YouTube About page, or their manager's.
  3. A clear offer. Product, fee, commission or a mix, stated plainly.
  4. A simple ask. One deliverable and one question, not a menu.
  5. Your real name and role. Creators reply to people, not "the team".

Replace everything in [brackets]. If you can't fill in the specific reference, you're not ready to email that creator.

Template: first contact for a paid post

Use when you have a budget and want a guaranteed post.

Subject: Paid partnership: [Brand] x [creator name]

Hi [name],

Your [video/post] on [specific topic] was the clearest take on [problem] I've seen, especially [specific detail].

I run marketing at [Brand]. We make [product] for [audience]. We'd like to pay you for one [TikTok/Reel/YouTube integration] about [angle], and we'll send the product first so you can try it.

Could you share your rate for that, or your media kit?

[Your name] [Role], [Brand]

Template: product gifting

Use for product seeding, with no obligation to post. Ask before you ship.

Subject: Can I send you [product]?

Hi [name],

I loved your [video/post] about [specific topic], and I think [product] would fit right into your [routine/kitchen/setup].

I'm [your name] from [Brand]. We'd love to send you one to try, no strings attached. If you like it and want to share it, great. If not, enjoy it anyway.

If you're up for it, just reply with your shipping address (and [size/shade/flavor]).

[Your name]

Our product seeding playbook covers who to seed and how to track who posts.

Template: affiliate or commission deal

Use for creators whose audiences buy, and for ongoing partnerships.

Subject: Affiliate partnership with [Brand]

Hi [name],

Your audience clearly trusts your recommendations; the comments on your [specific post] are full of people asking where to buy things.

I'm [your name] at [Brand]. We'd like to offer you a personal code for your audience ([discount] off) and [commission] on every sale, plus free product to try first. There's no minimum posting requirement.

Would you like me to set up your code?

[Your name]

Template: UGC request

Use when you want videos to post on your own channels or run as ads, not a post to the creator's audience.

Subject: Paid UGC for [Brand]

Hi [name],

I came across your portfolio and loved [specific video], especially the [hook/demo/format].

We're [Brand], and we're looking for [number] short videos of [product] for our [ads/product pages]. We'd send the product and a one-page brief, and pay [fee or "your rate"] per video, with usage for [period] on [channels].

Are you taking new projects this month?

[Your name]

Be explicit about usage rights in the first message. It avoids awkward renegotiation later, and our guide on how to find UGC creators explains what to agree.

Follow-up templates

Most replies come after a follow-up. Send them in the same thread.

First follow-up, three or four days later:

Hi [name], just bumping this in case it got buried. Happy to send [product] first so you can try it before deciding.

Second follow-up, about a week later, with something new:

Hi [name], one last note from me. We're [finalizing creators this week/launching on date], so I wanted to check once more. If the timing's not right, no problem at all, and I'd love to keep you in mind for later.

After a yes:

Amazing, thank you! Here's the brief [link], and I'll ship the product today. Could you confirm your address and the date you're planning to post?

After a no:

Totally understand, thanks for letting me know. Would you be open to hearing from us for a future campaign?

Subject lines that get opened

Subject lines should say what the email is, not tease it:

  • Paid partnership: [Brand] x [creator name]
  • Can I send you [product]?
  • Affiliate partnership with [Brand]
  • Paid UGC for [Brand]
  • Question about your [specific series] videos
  • [Brand] + [creator name] for [month] launch

Avoid all caps, emojis in every word and vague lines like "Collab?" or "Opportunity". They look like spam because they usually are.

Sending these at scale

Personalizing the first line for dozens of creators is the slow part. The topYappers Outreach Agent finds creators who already promote products like yours, writes a personalized first line for each, and sends your template with follow-ups from your own inbox. Our full influencer outreach guide covers contact details, timing and negotiation.

Frequently asked questions

How do I write an email to an influencer?

Open with one specific reference to their work, say who you are in one line, state the offer clearly (product, fee or commission) and end with one simple question. Keep it under 150 words.

What subject line should I use for influencer outreach?

Say what the email is: 'Paid partnership: [Brand] x [creator name]' or 'Can I send you [product]?'. Clear subject lines get opened; vague ones like 'Collab?' look like spam.

How many follow-up emails should I send to an influencer?

Two: one three or four days after your first email, and one about a week later with something new. Then stop and note them for a future campaign.

Should I mention payment in the first email?

Yes. Say whether you're offering product, a fee, commission or a mix. Creators ignore vague 'collaboration' offers because they have to guess what you mean.
